Dear Research Drive user,
You are reading this message because we are planning to migrate from ownCloud as a software back end for SURFdrive, to Nextcloud. Both are based on similar open source software, but the web-interface will change slightly and some user features will change. In this page you will read what the main changes will look like, and will find links to relevant documentation to help you guide through these changes.
Main changes
1. Web interface
The web interface will slightly change. One major change is that the menu options will all be shown in the top left bar of the screen.
Old (SURFdrive) layout
New (Nextcloud) layout
2. Important: Migrate your desktop client
If you are not using the SURFdrive client, you can ignore this paragraph.
However, if you are currently using the SURFdrive desktop client and have set up a local folder sync connection on your computer/laptop with your SURFdrive account, it is really important that you bring your SURFdrive desktop client into a healthy state (i.e. all folders/files are synced and there are no sync conflicts) before the migration to Nextcloud will take place. Make sure you check this at least one day before the date of the migration. If the client is in a healthy state, you will see a green check-mark next to your account. Once we migrated to Nextcloud, you should then install and configure the Nextcloud client, and afterwards remove the SURFdrive client once everything seems to check out.
Is your ownCloud desktop client healthy?
Healthy
Not healthy (sync conflict)
Not healthy (logged out of account)
No need to take any action, your client is healthy!
Resolve your conflict files.
Log in to your account and check the state of your client again.
If you see the first image, this means that your client is healthy . Once the migration to Nextcloud is conducted, your SURFdrive desktop client will not work anymore.
Do not change anything in your SURFdrive client anymore!
Make sure you do not add or edit local files in your SURFdrive directory anymore at this point. Your SURFdrive client will stop working once the migration to Nextcloud is conducted, so newly added files or file edits will not be synced to your SURFdrive anymore after this point.
Next steps for after the migration
It is now time to install and configure the Nextcloud client. For a step-by-step guide on how to install and configure your Nextcloud desktop client, please visit this page: RD: How to migrate to Nextcloud Desktop Client
Note that the URL may have changed a little to SURF.nl instead of SURFsara.nl
3. Custom groups will now be called teams
If you are working with custom groups in the current setting, these groups will still exist after the migration, but will now be called "Teams". Managing teams in Nextcloud will change with respect to SURFdrive. Where you currently have to navigate to "Settings"→ "Custom groups", you will now have to navigate to "Contacts" in the top left menu bar of your screen and then to "Teams". In this overview you can add a new team, or manage existing teams.
For more information on how to create a new team and share with a team, you can visit this page: RD: How to share with a team.
There are also more settings and roles available for team in Nextcloud compared to SURFdrive. If you want to learn more about these roles and about how to change the settings of a team, you can checkout this page: RD: Manage team settings and roles
Finally, it is also possible to make a team publicly visible. This way, anyone can request access to a public team and access can be granted to the team by the team owner, moderator or admin. If you wish to learn more about requesting access to an existing public team, please visit this page: RD: How to request access to an existing team
4. WebDAV passwords and end-points
WebDAV passwords will change
Although there are similarities, the Nextcloud software is different from the SURFdrive software, therefore resulting in different WebDAV endpoint structures and configurations. This means that your original WebDAV settings no longer aligns with how Nextcloud handles file access and paths through WebDAV. Therefore, your WebDAV credentials do not carry over once SURFdrive has migrated to Nextcloud, meaning that those credentials become invalid and must be reissued.
To do so, please visit this page for instructions on how to generate your WebDAV credentials:
WebDAV endpoints will change
Another thing that will change after the migration to Nextcloud as a software backend is the WebDAV URL. Where you are used to seeing a WebDAV URL that looked like this:
https:///surfdrive.surf.nl/files/remote.php/webdav/
The WebDAV URL will now look like this:
https://surfdrive.surf.nl/remote.php/dav/files/username/
Note that the URL may have changed a little
Where username relates to your SURFdrive username. The WebDAV endpoint URL can be found by the Files Settings option, which you will find in the lower left corner on the main page. Click on WebDAV to find the full WebDAV endpoint. For more instructions o how to obtain your WebDAV credentials and WebDAV URL, please visit this page: RD: How to get your WEBDAV credentials
Using rclone? Reconfigure your Research Drive connection!
Did you configure SURFdrive as a remote WebDAV connection using rclone? Make sure to setup a new remote or edit your existing remote connection once SURFdrive has migrated to Nextcloud.
Please find instructions on how to configure a new remote on this page: RD: How to use Rclone with SURFdrive#Rcloneconfiguration
5. Changes in sharing
Sharing works approximately the same as before, but the sharing interface changed a bit and there are a few more options available (like setting a password, disabling the download & sync option etc). Public links and eventual passwords will continue working as well.
Sharing interface
The sharing interface changed a bit between SURFdrive and Nextcloud. If you want to share a folder or file with another user or a team of users, you can follow these steps:
First create a share with for example "gebruiker1". Select the circular icon next to your (project) folder to create a new share:
Type in the name of the user you wish to share your project with and select the user:
This will open a pop-up window in which you can set and save the permissions of this user. For details on sharing permissions, check out the paragraph about sharing permissions below.
Tutorials on sharing
For more elaborate information on creating new shares, please visit the Sharing tutorials pages: RD: How to share a folder or file
Her you will find information on how to share with another user inside of your organization, outside of your organization (federated share), share with a team of users and how to share through a public link.
Sharing permissions
Nextcloud offers a wide range of sharing permissions possibilities.
View only
Allow editing
Custom permissions
- Set expiration date
- Allow download and sync
- Note to recipient
- Custom permissions
- Read: If this option is enabled, the person with whom you share can read the files in a folder.
- Create: If you disable this option, the person with whom you share will not be able to create new files in a folder.
- Edit: If you disable this option, the person with whom you share cannot change the file.
- Share: If you enable this option, the person with whom you share the files and folders can also share them with someone else.
- Delete(Verwijderen): If you disable this option, the person with whom you share cannot delete the file or folder.
If you want to learn more about what type of permissions and settings are available and what these options indicate, please visit this page: RD: Set permissions when sharing files and folders
How to delete a share?
If you shared a folder or a file with another user or a group of users in SURFdrive, it was rather straightforward how to delete such a share. You would just navigate to the share and press the trash bin icon
next to the share. In Nextcloud, this feature is a bit more hidden. If you wish to remove a share, navigate to the share, press the three dots
next to the share, then go to "Custom permissions" and select "Delete share".6. Seamlessly logging in to the desktop client
We have improved the login experience of our desktop client. Previously, you were required to reauthenticate every 30 days. Now, once you log in, you will stay logged in indefinitely — unless you manually log out or your credentials are revoked for security reasons. This means that from now on, you will not be recurrently prompted to login to your SURFdrive account again. In addition, you the risk of losing data or running into synchronization issues because of an out of sync desktop client will is much lower.
