On SURFdrive you can share files with users or groups within SURFdrive or with a public link. This can be done both via the web interface and from your local PC (using the desktop client). This page highlights how to share files in the web interface using screenshots.
There are two ways to share a file:
Sharing via Users and Groups (within SURFdrive)
1) Click the share icon to the right of the file or folder you want to share.
2) A menu opens on the right, by default it shows 'Users and Groups' (or 'Users and Groups'). You can then enter a name or email address in the text box below. SURFdrive starts searching immediately. Note: The form of the name can differ per institution (some have only initials, others start with the last name, etc).
3) Click on the name of the person with whom you want to share the document.
The document is now shared with the person, and they automatically receive an email containing the link to the document.
4) By default, the person you shared the document with, has only reading rights. To grant them editing and/or sharing rights, click on the wheel next to the person's name
Share via public link (for outside SURFdrive)
1) If you want to make a file or folder accessible to someone who does not have a SURFdrive, you can go to the 'Public Link' tab instead of the 'Users and Groups' tab. Then click on 'Create public link'.
2) Then you will get a pop-up with additional options. You can set a password or an expiration date here, among other things. Finally, you can click on share at the bottom right and then the link is final to share with others.
Note: Files are therefore not shared via SURFdrive
You can automatically send others the link you just created via 'send link via email'. If those people also have a SURFdrive account, they sometimes think that it has been shared with them via SURFdrive and can therefore also be found in their SURFdrive. However, this is not the case. Only if you share a file or folder via the 'Users and Groups' option will it end up in other people's SURFdrives.
The generated link is public. This means that if someone owns this link (or accidentally guesses it), they can access the files in question. You can add extra security by entering a password.
