The organisation admin is qualified to invite new admins and managers to the organisation. For instance, people in the Research Support departement can be assigned the organisational manager role so they can create collaborations in SRAM.

We strongly advise to always ensure there are at least two people within the organisation with a particular role, so that when one is unavailable, the other one can attend any requests.

To invite organisation admins and managers, select the tab "Organisation admins" on the home screen of the organisation. A screen like the one below will open.

Use the 'Add member(s)'-button to the right. You will be redirected to a form (see the screenshot below), which contains the following fields:

  1. Invitees: The email address of the invitees.
    1. It is possible to enter multiple email addresses. Separate the email addresses with spaces, commas, semi-colons or by entering each address on a new line.
  2. Role: Choose which role you want to assign to the invitees.
    1. To see what an organisational admin can do, take a look at Organisation admin and manager privileges
    2. To see what an organisational manager can do, take a look at Roles
  3. Units: Organisation managers' permissions can be restricted to organisation units, if they exist in the organisation.
  4. Optional message: If you want, enter a clear message you want to be displayed in the email invitation sent to each of the invited users: the user receiving an email need to understand who this is coming from, who they can contact in case they have questions etc.
  5. Invitation expires on: Optional date after which the invitation is no longer valid.

Setting Roles: Admins and managers

While inviting new members into the organisation (or after they have accepted the invitation), an admin can choose which role will be assigned to the new member. There are two roles: organisation admins and organisation managers.

  • Organisation administrators can edit the organisation, invite new members, create, approve and manage collaborations within the organisation. See Organisation admin and manager privileges.
  • Organisation managers can only create, approve and manage collaborations. This is done intentionally, so that an organisation can opt to delegate creating collaborations to colleagues, for instance in the research support group etc.

Assigning a second admin

We strongly advise to always ensure there are at least two people within the organisation with a particular role, so that when one is unavailable, the other one can attend any requests. This goes especially for the organisation admin roles.
