Instead of sharing the folder or files with multiple individual users with the same permissions, using teams can be useful.

In this tutorial we show you how to create a team and how to share with a team.

Share permissions for teams

An advantage of sharing by using teams, is that you can set the permissions for the whole team at once.
All members of the team have the same permissions to access the data. Before setting permissions blindly, please checkout the page on Setting sharing permissions.

Not yet part of a public team yet and wish to gain access?

It is possible to gain access to a public team by simply looking for the team in your contact overview and pressing the button "Request access". Check out this page to learn more about gaining access to public teams.

1. Create a team

Step-by-step

Step 1: Before you can share a file or folder with a team, you have to create a team.
To create a team, go to 'Contacts' in the top menu. Next, click the 'Plus' sign next to "Teams" on the left side.

Step 2: Choose a name for your team. In this example, the name of my team is 'Friends'.

Step 3: With the 'Add members' button, you can add members to your team.
Note that people must have a SURFdrive user account in order to add them as member of a team.

It is also possible to add an existing team to the current team. Expand the header below to learn more about this option.

Sometimes it is easier to add an exiting team to a new team. For instance, if you have a group for students, you can add each person to the team "Students". However, consider an example where a team called "Alpha" and "Beta" already exists. Then you can decide to add "Alpha" and "Beta" to the team "Students" for all students.

Now your team "Students" exists of a mix of individual members as well as two existing teams called "Alpha" and "Beta".

Manage team settings and roles

Once teams are created, you can mange settings for the entire team: Team Settings

2. Share a file or folder with a team

Step-by-step

Step 1: Click on the three dots after the folder / file which you want to share and select "Open details". In the "Details" view you can go to the "Share" tab.

Step 2: You can search for the team by typing in the first letters of the team name. All users and teams that start with these letters will be shown in an overview. You choose the team to share with by clicking it.

Step 3: You will now get a number of options for sharing: View only, allow editing, custom permissions
For more information about these options and best practices, see: Set permissions when sharing files and folders

Step 4: You can stop sharing the folder or file via the Sharing tab of the Details menu (see step 1). Choose the share you want to delete and choose "Delete share".
