In this page, we will discuss in detail the options that you can set when sharing. It is about the permissions that someone gets to the files or folders in a specific directory. In SURFdrive, you can determine what a person, with whom you share your data (internal or external), can do with your files or folders. We will describe a few scenarios below and indicate which options you could best use.

- Read: If this option is enabled, the person with whom you share can read the files in a folder.
- Create: If you disable this option, the person with whom you share will not be able to create new files in a folder.
- Edit: If you disable this option, the person with whom you share cannot change the file.
- Share: If you enable this option, the person with whom you share the files and folders can also share them with someone else.
- Delete(Verwijderen): If you disable this option, the person with whom you share cannot delete the file or folder.
Please note that when sharing only a file and not a folder, only the custom options Read, Edit, Share and Change are available.
2. How to create a share?
First create a share with "gebruiker1". Select the circular icon next to your project folder to create a new share:
Type in the name of the user you wish to share your project with and select the user:
This will open a pop-up window in which you can set and save the permissions of this user.
3. Sharing scenario's
3.1. View only scenario
In this most restricted scenario, you only share a file or a folder so that the person with whom you share can view the files but cannot change, delete or download them. To apply this scenario for a user, select "View only" in the picture below and click on save.
Allow download and sync setting
In the advanced settings for this option, you can allow the user to download and sync the folder/file by selecting the box:
3.2. Editing without delete permissions scenario
In this scenario, the person with whom you share files or folders is allowed to edit but not delete the files or folders. The person can also download the folders/files in this directory because it is allowed in the advanced settings.
Allow download and sync setting
By default, the allow download and sync option in the advanced settings, is on. You could decide to not allow users with editing rights to download the files by deselecting the box Allow download and sync option.
3.3. Editing and delete permissions, but no reshare permissions
In this scenario, you trust the person with whom you share and this person may perform any operation on the folder or file including deleting files/folders. To set the settings correctly for this scenario, you select the option Custom permissions and tick the boxes "Create", "Edit" and "Delete":
NB: when selecting the "Allow editing" option, the receiving user receives sharing rights as well. If you wish to hand out sharing rights as well, check the scenario in the box below.
Allow download and sync setting
By default, the allow download and sync option in the advanced settings, is on. You could decide to not allow users with editing rights to download the files by deselecting the box Allow download and sync option.
3.4. Editing with delete and share permissions (all permissions)
When "Allow editing" is selected, the person can edit and delete files and folders, and can also share the files or folders with a third person via SURFdrive. The person can also download the folders/files in this directory because it is allowed in the advanced settings.
3.5. Share through public link
To create a public link, you can follow the instructions in this tutorial. When you create public link, you can set what permissions users of that link will get (like editing, dowloading, reading or uploading).
To create a public link, you can press the +icon next to the Share link text.
After creating a link, the permissions are set to view only by default. If you wish to change the permissions, you can set these by pressing the three dots next to the share and select "Customize".
Setting permissions
There are three main types of permissions you can set for your public link: View only, Allow uploading and editing and File request (Upload only).
In addition, you can set advanced sharing and custom permissions for each public link. You can for instance protect your data using a password and share the password with the user that requires access to your files/folder in a separate email. This way, only those with the password can acces the link. It is also possible to set an expiration date. If this is set, the contents cannot be accessed after this date.

Be mindful of the risks
If you plan on sharing your files/folders through a public link, make sure you share only with recipients you trust.
It is also not recommended to use a public link to share files that contain personal data. It is always better to share the files directly with someone. An exception is when using 'File drop'. In this case the link can only be used to upload files without viewing rights.
We recommend:
- Sharing with password protection
- Sharing with expiration date,
This to avoid situations where links can be accessed by anyone or situations where people still have access to your data that should not have access anymore.
4. Delete a share
If you wish to remove a previously created share with another user or a team of users, navigate to the share, press the three dots next to the share, then go to "Custom permissions" and select "Delete share".
